The initial sample test report - documented quality!

The initial sample test report (ISTR) is a documented evidence about the series-production readiness - the repeatability of your module in consistent quality. For this purpose, a predefined quantity from the produced batch is used for the initial sampling.

"Initial sample" refers to products which are manufactured for the first time under standard and realistic conditions. 
Any further production and product release of such a product has to take place under constant conditions, based on the initial sample.

Norms and Standards

The quality assurance of Kuttig Electronic is based on the ISO 9001, IPC-A-610 and VDA Volume 2. The latter refers to the standard recommendation that has been developed by the Verband der Automobilindustrie.

An ISTR according to VDA criteria can be applied in analogy for sectors other than the automotive industry. However, no specific criteria regarding the production of highly complex electronic assemblies are considered here. Therefore, Kuttig Electronic GmbH as a specialist for the manufacturing of electronic assemblies has developed a much more extensive initial sample test report which is tailored to the needs of the industry.

Content of an Initial Sample Test Report

The initial sample test report contains various tests that are either integrated as an inherent part of each test, or can optionally be extended to suit your individual needs.

  • Assembly prints
  • Process flow diagrams
  • Production control plans

To ensure the highest quality throughout the production process, the active, performance-oriented dialogue with the customer regarding the quality of our assemblies is especially important. This is primarily connected with a high transparency in the production process.

FAQ - Frequently Asked Questions About the Initial Sample Test Report (ISTR)

What is an initial sampling?

First samples are products that are manufactured for the first time under standard and realistic conditions. Any subsequent production and product release of such a product must be based on the initial sample under identical conditions. From the produced batch a determined quantity, which has been agreed with the customer, is released for sampling. Changing production processes generally result in re-sampling or recertification by the customer.

Re-sampling may also be necessary if

  • production pauses for more than 12 months,
  • the base product is altered (e.g. function) due to a change of purchased parts,
  • a change to the product by the customer,
  • a change in the manufacturer/supplier approved by the customer (if agreed).
Why is an initial sample test report created?

Initial samples and their reporting serve the prevention of errors in series production from the beginning. Here, basic agreements are made between the customer and supplier, which define the characteristics and quality features of the modules in order to manufacture them in series in a clearly defined, reproducible quality.

Which advantages does the ISTR provide for the customer?

An initial sample test report allows accurate and unique documentation of the production process. As a result, series modules are reproduced in a consistently optimal quality. Therefore, the module has the same characteristics as the initital sample. The customer benefits of such a performance-oriented production and the production process is made transparent for him. In addition, the company Kuttig Electronic GmbH guarantees a 10 year safekeeping of the ISTR.

Who is responsible of the initial sampling?

The customer releases the initial sample. The supplier (Kuttig Electronic GmbH) commits itself to produce the modules in series under exactly the same conditions. The modules can be called off by the customer as required.

How does the initial sample report have to be stored?

Archiving is performed in accordance with § 257, 1 HGB and § 147 AO.
However, a retention period of 10 years is usually applicable.

What does the customer have to do with the report, if the initial sample is released?

This means that the customer agrees to the production methods and the qualitative characteristics of the module. 
Product quality is thus confirmed by the customer. This requires a customer signature under the headings marked and the completed documents (refer to identifiable section) should be returned to Kuttig Electronic. You will find a postpaid envelope in the back cover of the folder. The documents indicated in point 5 have to be sent back within 2 months of receipt, otherwise the result of the inspection is considered as released.

What does the customer have to do with the report, if the initial sample is released under certain conditions?

The customer releases the sample, but only under the condition that the points complained about will be improved by the supplier. This requires a customer signature under the headings marked and the completed documents (refer to identifiable section) should be returned to Kuttig Electronic. You will find a postpaid envelope in the back cover of the folder. The documents indicated in point 5 have to be sent back within 2 months of receipt, otherwise the result of the inspection is considered as released.

What does the customer have to do with the report, if the initial sample is rejected?

A rejection is done by a negative evaluation of the initial sample. The sample will be returned and the production has to be stopped. After agreement, an improvement can be carried out. The documents indicated in point 5 have to be sent back within 2 months of receipt, otherwise the result of the inspection is considered as released.
